Position Summary
We are seeking a detail-oriented and proactive Operations Administrator to support our Operation Manager in coordinating administrative workflows, procurement documentation, and internal communication across the company. This role plays a key part in ensuring our operational processes run smoothly, deadlines are met, and records are kept accurate and compliant.
Key Responsibilities
• Maintain and update operational records, procurement files, contracts, and administrative documents
• Coordinate schedules, meetings, agendas, and follow-ups for the Operation Manager
• Assist with procurement tasks, including vendor communication, quotations, and delivery tracking
• Support financial documentation such as expense reports, invoices, and CPA coordination
• Manage onboarding documentation and assist with HR-related administrative tasks
• Track compliance documents, insurance certificates, and safety-related submissions
• Improve administrative workflows and support the implementation of operational systems
Qualifications
Required
• Strong organizational skills and attention to detail
• Proficiency with Microsoft Office / Google Workspace
• Excellent communication skills (written and verbal)
• Ability to multitask and prioritize in a fast-paced environment
Preferred
• Experience in construction, engineering, procurement, or operations support
• Familiarity with accounting systems, document control, or ERP workflows
• Ability to work independently and take initiative
